Zoom integration
With Zoom connected, scheduling a meeting from a deal room issues a Zoom URL automatically, and after the meeting the cloud recording transcript is filed back into the same room. You no longer have to rewrite meeting notes or hunt for next actions by hand.
The connection belongs to your user account, not to a workspace. You connect once, and it applies across every workspace you belong to.
What you need first
| Item | Why |
|---|---|
| A Zoom account | Required to create meetings |
| A plan with cloud recording (Pro or above) | Required for transcript ingestion |
| Cloud recording and audio transcript enabled in Zoom settings | No transcript file is produced otherwise |
| Meeting recording enabled in your workspace settings | Meetings that request recording cannot be created otherwise |
Meeting creation works on a free plan. Automatic transcript ingestion requires a paid plan with cloud recording turned on.
Add the Zoom integration
- Open My Page from the account menu in the top right
- Scroll to the Personal integrations section at the bottom of the page
- On the Zoom card, click Connect Zoom
- Sign in to your Zoom account
- Review the requested permissions and click Allow
- You return to My Page; the Zoom card now shows Connected
Terasu requests only three permissions:
| Permission | Used for |
|---|---|
| Create and manage meetings | Issue a Zoom meeting when you schedule one from a deal room |
| View your user information | Identify the connected account so recordings are matched to the right user |
| View your cloud recordings | Fetch the transcript file after a meeting ends |
Audio and video recordings are never downloaded. Only transcript text is retrieved.
Create a meeting
- Open the deal room
- Go to the Meetings tab
- Click Schedule next meeting
- Enter the title, date, start time, and duration
- Optionally add participant email addresses, separated by commas
- Check Request cloud recording (transcript) if you want the transcript filed automatically
- Check I confirmed that participants consent to recording (required when requesting recording)
- Click Create
A Zoom URL is issued and a Join button appears in the meeting list. If Google Calendar is also connected, the meeting is added to your calendar and invitations are sent to the participants.
How a transcript is filed
- Start the meeting from the issued URL
- Start Record to the Cloud in Zoom
- After the meeting ends, wait for Zoom to produce the transcript (usually 3-10 minutes)
- Terasu receives it automatically and the meeting list changes from Waiting for transcript to Transcript ingested
- The content is added to the room context, where meeting notes and suggested next actions appear for review
A transcript is only filed when the meeting host has connected Zoom to Terasu. Meetings whose host has not connected show Transcript unavailable — the host has not connected Zoom.
Remove the Zoom integration
- Open My Page
- On the Zoom card in Personal integrations, click Disconnect
- Confirm in the dialog
Disconnecting deletes the stored access tokens; no further meetings are created and no further transcripts are ingested. Transcripts already filed into a room remain there — ask a room administrator if you want them deleted.
To remove the app from the Zoom side, open Zoom App Marketplace, find Terasu under Installed Apps, and click Remove.
Troubleshooting
| Symptom | What to do |
|---|---|
| "Access has been revoked" appears after connecting | The app may have been removed in Zoom, or the password changed. Click Reconnect |
| No Zoom URL is issued when creating a meeting | Zoom is disconnected or the token expired. Check the connection status on My Page |
| No transcript arrives after the meeting | Confirm you recorded to the cloud and that audio transcript is enabled in Zoom. Local recordings cannot be ingested |
| "Transcript unavailable — the host has not connected Zoom" is shown | The meeting host has not connected Zoom to Terasu yet. Ask them to connect |
| "Meeting recording is disabled in this workspace" is shown | Recording is off in workspace settings. Create without recording, or ask a workspace administrator to enable it |
How your data is handled
What we collect, why, how long we keep it, and how to delete it is described in our Privacy Policy. Access tokens are encrypted at rest and deleted when you disconnect.
