Deal Progression Settings

Deal progression settings let you manage the criteria the AI agent uses to determine "what phase this deal is currently in," "what's missing to advance to the next phase," and "what concrete actions will close those gaps."

Open the settings screen

  1. Open workspace settings
  2. Select "Deal Progression"
  3. Edit the standard template, rules, and phase definitions
  4. Click "Save"

Customization method

Choose how much of the standard template to use.

MethodDescription
Use standardUses Terasu's standard phase definitions as-is
Add to standardAdds your own rules and phases on top of the standard phases
Override standardUses the standard phases while overriding some conditions or actions
Fully replaceOperates entirely on your own definitions without the standard

We recommend "Add to standard" or "Override standard" at first. Use full replacement when your sales phases are already clearly defined.

Rule settings

Commitment extraction rules

These rules pick up actions the sales rep stated themselves, or actions requested by the customer.

Examples:

  • Treat anything the customer requested with a deadline as a high-priority candidate
  • Treat statements like "I'll send it" or "I'll check" by the rep as task candidates
  • Treat meeting scheduling, legal review, ROI materials, and approval (ringi) documents as explicit task candidates

Priority rules

These rules determine the ordering and importance of suggestions.

Examples:

  • Prioritize anything involving decision-makers, legal, security, or contract terms
  • Prioritize items with near-term deadlines
  • Prioritize items that directly satisfy a phase's completion criteria
  • Prioritize items the customer explicitly requested

CRM stage mapping

Map the stage names in your external CRM to Terasu phase IDs. Enter one CRM stage = phase ID per line.

Initial Meeting = discovery
PoC Review = evaluation_poc
Contract Negotiation = legal_procurement

Phase definitions

For each phase, set a name, description, completion criteria, and concrete actions.

ItemDescription
Phase nameThe name in your sales process
Phase descriptionThe purpose of this phase
Completion criteriaThe conditions that must be met to advance to the next phase
Concrete actions to meet the criteriaActions the AI can suggest to close the gaps

How to write concrete actions

Enter one per line in the following format.

Title | actionType | priority

Examples:

Create deck for executives | create_slide | high
Create legal review task | create_task | high
Draft follow-up message for the customer | draft_chat_message | medium
Update stakeholder information | update_stakeholder | medium

The main actionType values are as follows.

actionTypeUse case
create_task / update_taskCreate or update a task
draft_chat_message / send_chat_messageDraft or send customer-facing messages
create_page / update_pageCreate or append to a Room page
create_document / create_slideCreate materials or slides
create_meeting_agendaCreate a meeting agenda
create_stakeholder / update_stakeholderCreate or update a stakeholder
suggest_member_inviteSuggest inviting a member
update_deal_phase / update_crmUpdate the deal phase or CRM
organize_intakeOrganize intake information
propose_content / generate_contentPropose or generate content

Not just task creation—sending chats, creating Pages, creating materials, updating org charts, updating the CRM, and more all become suggestion candidates under the same rules.

Rationale included in suggestions

For each suggestion, the AI agent holds "why it's needed now," "the expected effect," and "the rationale." The rationale can include Room messages, intake information, pages, tasks, files, web search results, and more.

The rationale is information for the internal users on the Room-creation side. Don't expose internal rationale or internal memos as-is on customer-facing Pages or materials.

Restore to standard

If you've made major changes to phase definitions and want to revert, click "Restore to standard." Restoring the standard template overwrites the phase definitions you added or changed.
