Agent States and Management
The AI agent answers using Room context and creates executable suggestions when needed. In the current UX, users do not manually operate state names. Instead, use the AI sidebar on the right and the Deal Timeline to understand what is happening.
Where to check status
| What you want to know | Where to check |
|---|---|
| Whether AI can answer | AI sidebar on the right |
| Whether there are AI suggestions awaiting review | "Needs review" in the AI sidebar |
| Whether AI detected signals | Deal Timeline |
| Whether there are customer reactions or important changes | Deal Timeline |
| Whether there are unhandled suggestions across Rooms | Workspace Agent Inbox |
Main operating states
| State | Meaning | Where users see it |
|---|---|---|
| Idle | Waiting for a new question or Room changes | AI sidebar |
| Analyzing | Creating an answer from Room data, attachments, and conversation context | AI sidebar |
| Needs review | An executable AI suggestion has been created and is waiting for approval or rejection | "Needs review" in the AI sidebar |
| Executing | Running an approved action such as creating tasks, creating Pages, or sending messages | Approval card |
| Recorded | Signals, customer reactions, or important notes have been kept in the deal context | Deal Timeline |
| Error | Answer generation, loading, or approval handling failed | AI sidebar or the relevant screen's error message |
Operations with side effects, such as creating tasks, creating materials, creating Pages, sending messages, and updating stakeholders, are not executed until they are approved.
When there are pending reviews
When AI creates an executable suggestion, the "Needs review" section appears at the top of the AI sidebar.
- Click the AI icon in the bottom-right of the Room
- Open "Needs review" at the top of the sidebar
- Review the suggested content, customer-visible content, and sources
- Choose approve, request changes, or reject
If the suggestion contains multiple candidates, you can approve only the items you need.
When there are signals
When AI detects buying intent, engagement decline, competitor comparison, new stakeholders, and similar signals, they appear in the Deal Timeline.
- Open the target Room
- Click "Deal Timeline" in the left menu
- Filter by "AI signal" or "Customer reaction"
- Narrow further by importance or status
If you want advice on a signal, ask the AI sidebar, "What should we do next for this signal?"
How to handle errors
| Situation | What to do |
|---|---|
| The AI sidebar fails to answer | Wait briefly and send again. If an attachment is large, narrow it to the key points |
| Pending reviews fail to load | Click "Retry" |
| Approve or reject fails | Check the suggestion card and try again. If it repeats, contact an administrator |
| Room data cannot be referenced | Check Room membership and permissions |
| AI configuration is the issue | Check AI settings, Agent Policy, and Agent Skills in workspace settings |
When using Slack or MCP integrations, executable operations still follow Terasu's approval flow. External tool operations are not executed without the required permissions.
The AI agent supports deal judgment. Always have a person review contract terms, outgoing messages, and customer-facing materials before approving.
